Section 1

What Is Feast Financial?

Imagine a digital notebook for your feast community's money. Instead of paper and spreadsheets, everything is on a website β€” who gave money, where money was spent, and how much is left. Everyone who needs to see the numbers can see them, and only the right people can add new entries.

In Simple Words

It's like a magical piggy bank that remembers everything. Every time someone gives an offering, it writes it down. Every time the feast buys something (like food or venue rental), it writes that down too. Then it shows you a colorful chart of where all the money went. No more guessing!

Section 2

Getting Started

Here's exactly what happens when you first visit the website. It's as easy as signing in with Google!

1

Visit the Website

Go to feast-provincial-financial-manageme.vercel.app. You'll see a beautiful landing page with a big "Get Started" button. Click it!

2

Sign In with Google

Click the "Sign In with Google" button. Use your Google account (Gmail). That's your key to get in β€” no need to create a new password!

3

Select Your Role & Location

After signing in for the first time, you'll see an "Apply for Access" form. Here's what to do:

πŸ› Provincial Team β€” Select this if you're a Provincial Builder, Admin, or Finance Officer. Province-wide access.

πŸ—Ί Area Builder β€” Select this, then choose your Area (North Luzon, South Luzon, Visayas, or Mindanao).

🌐 District Builder β€” Select this, then choose your Area and District from the dropdowns.

β›ͺ Feast Builder β€” Select this, then choose your Area and District. You'll be assigned to a specific feast.

πŸ’° Got an Invite Link? β€” If a Builder sent you a link, just click it! You'll be assigned as Finance Officer for their feast, district, area, or provincial level.

4

Wait for Approval

After submitting your application, you'll see a "Pending Approval" screen. A System Admin or Provincial Admin will review and approve your request. This ensures only authorized people get access.

5

You're In!

Once approved, you land on the Dashboard β€” your home base. Depending on your role, you'll see finances for your feast, district, area, or the entire province. Each level has its own financial account, Tithes of Tithes tracking, and reporting tools.

Section 3

Every Page Explained

The app has a sidebar menu on the left. Here's what every single button does, where it takes you, and who can see it. Think of each page as a different room in a house!

Dashboard

Your home screen. Like the cover page of a report card! Shows you the big numbers: how much money came in, how much went out, and what's left. Also shows your most recent transactions and quick buttons to record new ones.

What you'll see: Total Cash In (green), Total Cash Out (red), Net Balance, Active Feasts count, Recent Transactions list, Quick Action buttons, and your feast cards at the bottom with mini summaries. Top-right has a date filter (Today, This Month, etc.) and a "+ New Entry" button for finance officers.

πŸ‘ Visible to Everyone

My Feasts

A page that shows your feast community (or communities if you manage more than one). Think of it like a refrigerator magnet board where each magnet is one feast with its name, schedule, location, and money summary.

What you'll see: Each feast is shown as a card with its name, day & time, location, total cash in (green) and total cash out (red). Click "View Transactions" to jump to that feast's transaction history. Click the edit icon (pencil) to update feast details (name, schedule, location).

πŸ‘ Visible to Everyone

Transactions

The big record book! Every single peso that comes in or goes out is listed here. You can filter by feast, type (in/out), date, or category. Click the eye icon (πŸ‘) to see the full details of any transaction.

What you'll see: Filter bar at top (Feast, Type, Date Range, Category). Summary cards with Total Cash In, Total Cash Out, and Net Balance. A table showing every transaction β€” date, feast, type badge (green for In, red for Out), category, description, receipt link, and amount.

For Builders: An "Edit Requests" tab appears where Finance Officers' edit requests show up. The Feast Builder or Feast Admin of that feast is the one who approves or rejects, and so is the Area Admin for any feast in their area; District Builders, Area Builders and Provincial builders see the same list for oversight only.
For Finance: Click the eye icon on any transaction β†’ see full details β†’ click "Request Edit" to ask the Builder to change something.

πŸ‘ Visible to Everyone

Tithers

Like a class attendance list, but for people who give tithes. It shows each person's name, how many times they've given, and the total amount. It's a beautiful way to track and appreciate your community's generosity.

What you'll see: A list of all tithers with their name, phone, email, number of tithes, total amount, first and last tithe dates. Click on a tither to see their full history. Finance Officers can add new tithers.

πŸ‘ Visible to Everyone

Cash In (↑ Money Coming In)

The page where you record money that your feast receives. Tithes, offerings, donations, love gifts, sponsorships β€” all of that goes here! You pick the feast, enter the amount, choose a category, and optionally upload a photo of the receipt.

What you'll see: A form with: Feast/Entity dropdown, Amount, Category (Tithe, Offering, Donation, Tithes Received, etc.), Date, Tither dropdown (optional β€” links this cash in to a specific tither), Description, Receipt upload. Finance Officers can also add custom categories using the "+ Add Category" button. Below the form is today's cash-in summary.

Scope-aware: This page works at every hierarchy level. Feast Finance records for their feast. District Finance records for their district. Area Finance for their area. Provincial Finance for the province.

πŸ’° Finance Officers Only (All Levels)

What you'll see: A form with: Feast/Entity dropdown, Amount, Category (Venue, Utilities, Supplies, Food, Transport, Equipment, Honorarium, Tithes Remittance, Printing, Communication, Other), Payee, Date, Description, Receipt upload. Finance Officers can add custom categories for expenses not in the standard list. Below the form is today's cash-out summary.

Scope-aware: Works at every hierarchy level β€” feast, district, area, and provincial.

πŸ’° Finance Officers Only (All Levels)

Reports

Like a school report card, but for money! Pick a date range, pick a feast, and the app creates a beautiful report showing total income, total expenses, and the summary by category. You can even compare two time periods to see if you're doing better or worse!

Report types: Summary Report (overview), Detailed Report (every transaction listed), Comparison Report (compare two periods side by side), Attendance Report, and Tither Report. All can be downloaded to PDF.

πŸ‘ Visible to Everyone

Attendance

Track how many people come to each feast session. Create a session, enter the date and count. Over time you'll see a chart showing if attendance is growing!

What you'll see: A list of feast sessions with date, attendance count, and notes. A chart that plots attendance over time so you can spot trends.

πŸ’° Finance Officers Only

Budget

Plan ahead! Set a spending limit for each category (like "we'll spend max β‚±5,000 on venue this month"). The app then tracks how much you've actually spent and shows if you're within budget or going over.

What you'll see: Budget categories with planned vs. actual amounts. Green = within budget. Red = over budget. Progress bars show how much of each budget is used.

πŸ‘ Visible to Everyone

AI Assistant

Your personal helper robot! Type a question like "How much did we spend on food last month?" and the AI looks at your feast's data and answers instantly. It's like having a super-smart accountant who never sleeps!

What you can ask: "What was our total income this quarter?", "Compare January vs February expenses", "Which category has the biggest spending?", "How many tithers do we have?", "Give me a summary of last week". The AI uses real data from your feast β€” it doesn't make things up.

πŸ‘ Visible to Everyone

Feast Map

A real map of the Philippines with pins showing where every feast is located! Zoom in, zoom out, click on a pin to see feast details. Like Google Maps but for feasts!

What you'll see: An interactive dark-themed map (Leaflet.js + CartoDB Dark tiles). Each feast with coordinates appears as a pin. Click a pin to see the feast name, address, schedule, and a link to view its transactions.

Hierarchy Views (District / Area / Provincial)

Each hierarchy level is now a full financial account β€” not just a read-only view. District, Area, and Provincial levels each have their own cash in/out, transaction history, Tithes of Tithes tracking, and the ability to invite their own Finance Officer.

District View (District Builder & District Finance) β€” Own financial account, incoming tithes from feasts, Tithes of Tithes obligation upward to Area. Can invite a District Finance Officer.

Area View (Area Builder & Area Finance) β€” Own financial account, incoming tithes from districts, obligation upward to Provincial. Can invite an Area Finance Officer.

Provincial View (Provincial Team) β€” Own financial account, incoming tithes from all areas. The top of the hierarchy.

Each level still shows an overview of the entities below it (feasts under a district, districts under an area, etc.) alongside its own account summary.

πŸ›οΈ Builders, Finance Officers & Provincial Team

People Pages (Users / Approvals / Roles & Permissions)

The control room. This is where leaders manage people: approve new users who request access, manage who is a builder in which district, and where Feast Builders can generate an invite link for their Finance Officer.

Users (Admin) β€” View and manage every account in your jurisdiction, Finance Officers included. Block or unblock users. View security logs. Found under People in the menu.
Approvals (Feast Builder) β€” Approve or decline finance officer requests for your feast.
Approvals (System Admin / Provincial Admin) β€” Approve people requesting builder roles. One menu item leads to whichever queue is yours.
Invite Finance Officer β€” Builders at EVERY level can invite a Finance Officer for their scope:
β€’ Feast Builder β†’ invites Feast Finance
β€’ District Builder β†’ invites District Finance
β€’ Area Builder β†’ invites Area Finance
β€’ Provincial Builder β†’ invites Provincial Finance

πŸ” Admins & Builders Only
Section 4

Roles & Who Can Do What

Think of it like a school: the Principal sees everything, the teachers see their class, and each student sees their own desk. Everyone has a job, and nobody can mess with things that aren't theirs.

Click on any role to learn more!

Two kinds of role at every level. A Builder oversees and reviews (view-only); a Finance officer is the only one who records money at that level. Authority flows top-down, while Tithes of Tithes flow bottom-up: Feast β†’ District β†’ Area β†’ Provincial.

πŸ›

Provincial Team (Builder / Admin / Finance)

Province-wide view. Provincial Finance handles the provincial-level account.

All Data + Own Account
Who is this? The provincial leaders of LOJ. There are 3 sub-roles:
β€’ Provincial Builder β€” oversees all areas, can invite a Provincial Finance Officer
β€’ Provincial Admin β€” manages users and approvals
β€’ Provincial Finance β€” handles the provincial-level financial account (cash in/out, recording incoming tithes from areas)

Own account? Yes! The provincial level has its own financial account. Provincial Finance records cash in/out at the provincial scope, and receives Tithes of Tithes from all areas.
πŸ—Ί

Area Builder + Area Finance

Area-level view and its own financial account. Area Finance handles cash in/out.

Their Area + Own Account
Area Builder: The leader of an area (North Luzon, South Luzon, Visayas, or Mindanao). They see all districts and feasts under their area. They can register new feasts within their area, reassign feasts to different builders, and invite an Area Finance Officer.

Area Finance: Handles the area-level financial account β€” recording incoming tithes from districts and managing area-level expenses. They have their own cash in/out pages scoped to the area.

Tithes of Tithes: Each area owes a monthly tithes obligation upward to Provincial β€” minimum β‚±10,000 or 10% of revenue (whichever is greater).
🌐

District Builder + District Finance

District-level view and its own financial account. District Finance handles cash in/out.

Their District + Own Account
District Builder: The builder assigned to one district. They see all feasts inside that district and can view their transactions and reports. They can register new feasts within their district, reassign feasts to different Feast Builders, and invite a District Finance Officer. They can also view edit requests across their district for oversight β€” but approving or rejecting one is the Feast Builder's or Feast Admin's call, not theirs.

District Finance: Handles the district-level financial account β€” recording incoming tithes from feasts and managing district-level expenses. They have their own cash in/out pages scoped to the district.

Tithes of Tithes: Each district owes a monthly tithes obligation upward to Area β€” minimum β‚±10,000 or 10% of revenue (whichever is greater). Each feast also owes tithes upward to the district.
β›ͺ

Feast Builder

Registers and manages their own feast. Approves edit requests β€” together with the Feast Admin of the same feast, and the Area Admin over that area β€” and invites a Finance Officer. Feasts can be reassigned to a different builder if needed.

Their Feast (View)
Who is this? The person who registered the feast, or was assigned by a higher builder (Area or District Builder can also register feasts). They can see all transactions, reports, tithers, and attendance for their feast.

Special powers: They can register a new feast, invite a Finance Officer by generating a link, and approve/reject edit requests from their Finance Officer β€” a power shared with the Feast Admin of the same feast and the Area Admin over that area. Think of them as a teacher β€” they watch over one classroom but the student (Finance) does the writing.

Succession: Feasts are assigned to a builder. If anything happens (resignation, reassignment, etc.), the feast can be easily reassigned to a different Feast Builder by the District or Area Builder above them. No data is lost β€” the new builder inherits everything.
πŸ’°

Finance Officer

The ONLY role that can record Cash In & Cash Out. Handles the money!

Their Feast (Edit)
Who is this? The person invited by a Feast Builder to handle finances. They are the ONLY one who can:
β€’ Record Cash In (tithes, offerings, etc.)
β€’ Record Cash Out (expenses, including Tithes of Tithes remittance)
β€’ Add Tithers
β€’ Track Attendance
β€’ Add custom categories
β€’ Request edits on transactions

Think of them as the student doing their homework β€” they do the actual work, and the teacher (Feast Builder) reviews it.

Important: Feast Finance Officers can only access their ONE assigned feast. But there are also District Finance, Area Finance, and Provincial Finance roles β€” each handling their own level's financial account.

⚑ The Golden Rule

Only Finance Officers can write data β€” at every level. Feast Finance handles feast transactions. District Finance handles district transactions. Area Finance handles area transactions. Provincial Finance handles provincial transactions. Builders at every level oversee but don't touch the money. This keeps finances safe and transparent!

πŸ’Έ Tithes of Tithes

Each level gives upward: Feast β†’ District β†’ Area β†’ Provincial. The monthly obligation is the greater of β‚±10,000 or 10% of that month's revenue. So if your feast earned β‚±150,000, the obligation is β‚±15,000 (10%). If revenue is only β‚±80,000, the obligation stays at β‚±10,000 (the floor).

The dashboard shows a Tithes of Tithes card with the current month's obligation, paid status, and remaining balance. In the last 5 days of the month, a pop-up reminder appears: "Remember to give your Tithes of Tithes to expand beyond your territory."

πŸ‘ All Roles See Their Obligation
Section 5

Tithes of Tithes

The Tithes of Tithes is a system where each level gives upward to the level above it β€” strengthening the community from the ground up. "To expand beyond your territory."

How It Works

Think of it like a family giving back to the community. Each month:

1. Each Feast gives tithes to their District
2. Each District gives tithes to their Area
3. Each Area gives tithes to Provincial

How much? The minimum obligation is β‚±10,000 per month. But if 10% of that month's total revenue is greater than β‚±10,000, then 10% becomes the obligation.

Example 1: Feast earned β‚±80,000 this month β†’ 10% = β‚±8,000 β†’ Obligation is β‚±10,000 (minimum floor).
Example 2: Feast earned β‚±150,000 this month β†’ 10% = β‚±15,000 β†’ Obligation is β‚±15,000 (10% exceeds the floor).

πŸ”” End-of-Month Reminder

In the last 5 days of every month, a pop-up notification appears on the dashboard reminding you: "It's almost the end of the month! Remember to give your Tithes of Tithes to expand beyond your territory."

The notification shows your current obligation amount, whether it's been paid, and a quick "Record Payment" button that takes you directly to Cash Out with the Tithes Remittance category pre-selected. The reminder shows once per day.

πŸ“Š Dashboard Tithes Panel

On the Dashboard, a dedicated "Tithes of Tithes" card shows: your monthly obligation amount, whether it's paid or pending, and the calculation basis. Every level sees their own obligation β€” from Feast all the way up to Area.

This is your home screen! At the top you see four big cards:

β‚±500.00 Total Cash In  Β·  β‚±200.00 Total Cash Out  Β·  β‚±300.00 Net Balance  Β·  1 Active Feast

Below that you see Recent Transactions (last few entries) and Quick Actions (Record Cash In, Record Cash Out, Generate Report).

At the bottom is My Feasts β€” cards showing each feast with its total cash in and cash out.

Section 7

How Edit Requests Work

What if the Finance Officer made a mistake? They can't just change a transaction β€” they have to ask permission. Here's how that works, step by step:

1

Finance Spots a Mistake

The Finance Officer sees a transaction that needs fixing β€” maybe the amount is wrong, or the category should be different.

2

Click "Request Edit"

On the Transactions page, they click the eye icon (πŸ‘) on the transaction β†’ in the detail popup, they click "Request Edit" (orange button at the bottom).

3

Fill In the Request

A form pops up asking: Why? (explain the reason), What to change? (describe the correction), and optionally upload supporting images (like a photo of a receipt showing the correct amount).

4

Builder Reviews

The Feast Builder β€” or the Feast Admin of that same feast, or the Area Admin over that area β€” sees a red badge on the "Edit Requests" tab in Transactions. They click it, see the full request (reason, images, original transaction), and can Approve βœ“ or Reject βœ— (with optional notes explaining why).

5

District Can See Too

The District Builder (and anyone higher) can also view these edit requests for oversight β€” but they can't Approve or Reject. Only the Feast Builder or the Feast Admin of that feast, or the Area Admin over that area, can do that (a System Admin can do it anywhere).

Section 8

How The AI Assistant Works

The AI is like a super-smart friend who can look at all your feast's money records and answer questions in plain language. Here's what's happening behind the scenes:

πŸ’¬

You Ask a Question

You type something like: "How much did we spend on food last month?"

πŸ”

AI Fetches Your Data

The AI goes to the database and pulls YOUR feast's real financial data β€” transactions, tithes, amounts, categories. It ONLY sees data for feasts in your jurisdiction (the same data you can see).

🧠

AI Thinks & Answers

Using smart AI models (Groq β†’ Gemini β†’ OpenAI as fallbacks), the AI looks at the data and gives you a plain-English answer: "Last month, your feast spent β‚±3,200 on food across 8 transactions."

πŸ”’

Your Data Stays Safe

The AI doesn't remember previous conversations. It doesn't store your data. Each question is a fresh, separate conversation. Your financial data is NEVER used to train AI models.

πŸ’‘ Can the AI make mistakes?

Yes, sometimes! AI is smart but not perfect. Always double-check important numbers with the actual Reports or Transactions page. Think of the AI as a helpful assistant, not the final answer.

Section 9

Data Privacy & Security

Your feast's financial data is sacred. We treat it that way. Here's how we protect it, explained as simply as possible:

Google Sign-In Only

We never store your password. You login through Google β€” the same security that protects your Gmail.

Role-Based Isolation

You can ONLY see data for your assigned feast / district / area. Finance from Feast A can never see Feast B's money.

Encrypted Data

All data travels through HTTPS (encrypted connections). Your information is scrambled while moving between your phone/computer and our servers.

Supabase (PostgreSQL)

Your data lives in a professional-grade database with row-level security β€” the same technology used by major tech companies.

No Data Selling

We will NEVER sell your data. Period. Your financial information is used only to show it back to you and your feast community.

AI Doesn't Train On You

The AI assistant answers your questions but NEVER stores your conversations or uses your data to train AI models. Each chat is independent.

7-Layer Security

Access violation logging, auto-blocking after repeated unauthorized access attempts, DevTools detection, integrity monitoring, and role tampering detection.

Admin Block/Unblock

System Admins can block suspicious accounts, view security logs, and unblock users. Full audit trail of all security events.

Section 10

Subscription & Pricing

Here's the deal: It's β‚±299 per month per feast. That's it. No hidden fees. And half of that goes to charity.

πŸŽ‰ The Free Trial

When you register a new feast, you get 1 full month (30 days) completely free. No credit card needed! Use all features with nothing held back. After 30 days, you choose: subscribe for β‚±299/month to keep going, or the feast goes read-only (you can still see your data, but can't add new entries).

πŸ’› Where Your Money Goes

Your β‚±299/month subscription covers platform maintenance, hosting, security, and continuous feature improvements to serve the LOJ Feast Family. πŸ™

πŸ’‘ Who Pays?

Only the Feast Builder who registers the feast handles payment. The Finance Officer, District Builder, Area Builder, and everyone else get FREE access forever. Only one subscription per feast.

πŸ”’ What Happens If It Expires?

If the trial ends and nobody subscribes, the feast goes into read-only mode. That means you can still see all your past data β€” every transaction, every report β€” but you CAN'T add new ones. A red banner at the top will remind you to subscribe. No data is ever deleted!

Section 11

Frequently Asked Questions

Got questions? Here are the most common ones, answered simply!

Is my feast's financial data visible to other feasts?

Absolutely not! Each feast's data is completely isolated. A Finance Officer from Feast A can NEVER see Feast B's transactions. Even builders only see the feasts within their specific jurisdiction (district, area, etc). Think of it like separate bank accounts β€” your money records are yours alone.

Can my Finance Officer steal money or manipulate records?

The system creates transparency, not opportunity. Every transaction is logged with who created it and when. The Feast Builder can see ALL transactions and must approve any edit requests. The District Builder provides an additional layer of oversight. If something looks wrong, the full history is right there. It's like having a security camera on the cash register!

How many Finance Officers can one feast have?

Currently, one Finance Officer per feast. The Feast Builder generates an invite link and sends it to their chosen person. This keeps accountability simple β€” one person handles the money, one person watches over them.

What happens to my data if I stop paying?

Your data is NEVER deleted! If your subscription expires, the feast goes into "read-only" mode. You can still log in, see all your past transactions, view reports, and download everything. You just can't add NEW entries until you resubscribe. Think of it like a library book β€” you can still read it, you just can't write new pages until you renew your card.

Can I use this on my phone?

Yes! The whole app is mobile-friendly. The sidebar collapses into a hamburger menu (☰) on small screens, and all pages are designed to work on phones and tablets. You can record Cash In right from your phone at the feast venue!

Do I need to install anything?

Nope! It's a website β€” just open your browser (Chrome, Safari, Firefox, Edge) and go to the URL. No app store, no download, no updates to install. It always has the latest version.

How does the AI know my feast's financial data?

When you ask a question, the AI temporarily fetches your feast's data from the database (the same data you can see on the Dashboard), includes it as context for the question, and then gives you an answer. After answering, it forgets everything. It's like showing a calculator your numbers, getting the answer, and then the calculator resets. Your data is not stored by the AI or used for training.

Who built this system?

Morph Tech Inc. β€” built with purpose for the LOJ Feast Family. The mission is to bring financial transparency to every feast community in the Philippines.

Can a Feast Builder also record transactions?

No. This is by design! The Feast Builder is the overseer β€” they watch the money but don't handle it. Only the Finance Officer (invited by the Builder) can record Cash In and Cash Out. This applies at every level: District Builders can't record district transactions (that's the District Finance Officer's job), and the same for Area and Provincial levels.

What is Tithes of Tithes?

Tithes of Tithes is a system where each level gives upward monthly: Feast β†’ District β†’ Area β†’ Provincial. The obligation is the greater of β‚±10,000 or 10% of that month's revenue. It's about expanding beyond your territory and supporting the broader community. The system tracks obligations, shows reminders, and records payments automatically.

Does each hierarchy level have its own bank account in the system?

Yes! Each level β€” District, Area, and Provincial β€” has its own full financial account, just like a feast. They can record cash in/out, view transaction history, generate reports, and track Tithes of Tithes. Each level's Builder can invite their own Finance Officer to handle the money.

What happens if someone tries to access a page they're not allowed to see?

The system has a 7-layer security system. If someone tries to access an unauthorized page, the attempt is logged as a security violation. After 5 violations in one hour, their account is automatically blocked. A System Admin can review security logs and unblock accounts from the Users page. The system also detects developer tools, role tampering, and other bypass attempts.

What if I need help or found a bug?

You can reach out to Morph Tech Inc. through the contact information provided by your provincial leadership. You can also use the AI Assistant page for quick questions about how to use the app. We're always working on improvements!
